Meetings are an important and most valued characteristics of an organization, there are many management level meetings happening throughout the organization and the purposes of which are different. Some executive level meetings may take more time, energy, efforts to organize things and may be over all a costlier affair. Time is precious for everybody and so it is very important that whatever meetings happen are productive and yield some results out of it. So meetings that are unproductive are no good to any smaller or bigger organization as more people in the room means even more wastage of man-hours at work. The interrupted workflow is one of the worst nightmares for managers who cannot leverage any conditions on meetings being held as they are said to be for good of the organization.

We can work all fresh fit and fine early in the mornings especially when there are no interruptions happening. Usually meetings are held in the afternoons especially on Tuesdays around 3 pm, that is the global time where in most meetings are held across the globe. Before a meeting starts, it is very important to set the points that are going to be discussed in the room. Here are some of the points and tips that would help you as a manager or an employee to make your meetings the most productive ones:

Make sure that your meeting has a purpose, question yourself about the outcome of the meeting. If the meeting brings no solutions or results, there was no point in putting the meeting at first place. Common updates can always be shared over an email or a voicemail or a simple voice call.

Do not gather people on Mondays, as the people are back after weekend there is much to gather and work for the company needs.

Prepare a review of your meetings at the end and prepare an action plan that will capture all the important points that were discussed in the meeting. Take into consideration the suggestions that were put forward by employee or sub manager. Every body has a right to opinion.

Standing meetings are said to bring in more activeness and energy in the topics that are being discussed. Sitting back usually holds for a laid back attitude and some people literally snooze off in the meetings. These days, bigger organizations are already holding standing meetings for their employees.

State the purpose of the meeting at the very start and convey the solutions that are needed at the end. Accomplish your targets by letting each and everybody who is going to attend the meeting in a very dignified and respectable manner to make them feel worthy.

The best and productive meetings are the ones that has full proof plans with all the written notes, discussion plans and implementation solutions. The great leaders would surely bring a good measurable value to your meetings.

Business endeavors have always been a tougher job especially to convince the prospects that have already made up negative mind of not buying your product. You can take vital cues from your prospects if he is willing to talk further or not, suppose if his arm are folded in an upright position, his is firmly adamant about the argument, showing no interest in even looking at the product and there are some sensations which you just sense when you are physically present with the person. The negativity in a conversation will obviously lead to fade away your enthusiasm for making the right moves to sell of your product. You start feeling bouts of insecurity in and around you and the monthly targets are already munching over your head, so what do you do next?

Well, to face the reality you have already lost out on your prospective client for now looking over his attitude towards the product. Suddenly, you start feeling jitters all over your body and start feeling hot in spite of the high air-conditioner. The body languages of a person are the vital cues to decide whether you would be successful in your transactions or no but that is not always the problem. Sometimes, it is possible that you may misinterpret the signs and the body language you see may not turn out always to be true. Most of the people have the tendency to react to the body language you reveal in front of them and may rather reciprocate the way you talk to them. Whatever we may think or decide the final point is you have to get going with the transactions and have to succeed by hook or by crook. Here are some of the methods through which you can generate a positive body language for yourself and in your prospect. You have to lead it in your own way and you cannot just sit back and want the things to happen:

Smile at the prospect

Smile is the best weapon to shoot a person at first before he tends to get angry on you or rather yell out if things don’t work their way. This is the best body language you can transact that speaks lots about further relationship you are going to share with them. For this, people are going to smile back at you and you can best start talking about your deal at this stage.

A Firm Handshake

You can make the very first and the best impression on your prospect by doing a firm and vigorous handshake. Giving a firm handshake is the vital sign that creates a lasting bond between you and your prospect. Grasp your prospects attention to the degree at which you are keenly interested in making the transaction.

Eye Contact

The best advice I can give you here is to look in your prospect’s eye while communicating business, this will lead them to understand that you are confident enough to face them. Making a good eye contact helps the person to respect the opposite person by showing sincerity in your business transaction.

The people all over the world are living on the idea of communication. If there had not been any communication, there would not have been any interaction amongst the people. The main idea of communication is to portray a message to another person, it does not matter how you communicate in your social life but business life brings you all the more complexities of communication. There are vast amounts of barriers to effective business communication, simply because people tend to misunderstand the message due to many interferences in business work. In a business, there are people coming from different backgrounds and experiences, each of them have their own work style. The problem comes when there are different points of view, no teamwork presence and difficulty in understanding. Such problems can lead to barriers to effective business communication in longer run and can create a danger for future business accomplishments.

Everyone communicates differently and each one of has his own style of conveying the message that he may find it easy. Business communication is something that we are not powerful at, and as we get experience we become powerful in the talks. Given below are some of the exclusive barriers to effective business communication that are seen in organizations today:

Physical Barriers:

These are the barriers which stop good effective communication physically mainly due closed office doors for people in higher hierarchy. There are marked out area portraying a particular territory or fiefdoms that does not allow a layman to enter. The larger work area also stops the communication between the people. According to the research, a closer proximity of work place between individuals allows for a better communication as long as they have their own personal space.

The language Barrier:

This happens when people belonging to different countries or communities come under one roof to work together. A person may not understand what the other person is trying to say even if they speak the same language. There are cases, where people of different languages go extremely well because of the common understanding but at some place it might fail.

The Gender barriers:

The way a woman and a man communicate is different because of the wiring of brains in both the genders. A woman tends to speak 3 times more than a man speaks in a day. A man’s speech is located in the left hand side of the brain and so his communication is compartmentalized and logical where as a female’s speech is located in both the hemispheres through which they talk logic with emotions.

The Perception Barrier:

Each individual born on earth is different and that is the reason why they think different. What a person might think from one point of view might be different from what another person thinks from other point of view.

The Emotional barrier:

This barriers arises when people become very mindful of what they are going to speak next, this especially happens since childhood when they are taught to take care of what they are speaking. This barrier comprises of fear, mistrust and suspiciousness as the main factors. People with such ideas in mind, become vulnerable and hence this stunts their thinking power and communication.

The Interpersonal Barriers:

These are the major barriers to communication that distances people from one another. There are either misunderstandings or failure to put their efforts to understand each other. The interpersonal barriers are ranked at the top of problems in organizations today. There are cases of withdrawal by a person or group of people, the rituals followed by some groups in the company, the past times of people may have different priorities.

You can break these organizational barriers by your own willpower and passion to maintain good relationships with the people working in your organization.

The core element of a successful business lies in effective business communication skills breeding in an organizational culture. We all have a power and willingness to take our businesses to bigger and better heights by applying simple rules to our business. The idea of effective business communication has been long prevalent but it’s been just few years people are actually realizing its importance in business. The success and failure of a business is in our own hands and that largely depends on the methods of communication we apply to our business. Here, are few of the tips that might help you to lead effective business communication in your company and getting good employee involvement in attaining the goals and objectives of a company:

Reciprocate your thoughts in writings:

Do not allow any personal assistant to type any official letter for you, type of own letter and memos that would effect a lot more to the person who you are communicating with. Your personal thoughts in writing make a great difference.

Positivity:

Some people block their minds of using their creativity at emotional level. So in such situations it is best to concentrate whole-heartedly on the tasks you are doing without involving any situation interrupting your work.

Portray the right message:

Get a perfect message in front of your readers, tell them what is the purpose of your message and how they will benefit from an idea, product or a service.

The level of writings:

You may be good at technical language, but your readers are not. They are anyways not going to get impressed by the language they find it difficult to understand, the best is to write in simple language that will benefit all.

No angry mood:

Never speak business when you are in an angry mood, neither you should sit for writing an email or letters that time. The tone and the manner in which you write, is well understood by the opposite person and he might have a different opinion about you and your business.

Anticipate the readers thought:

You have written your business communication and you are all ready to send it. Before sending it, try to acknowledge the document with the answers of the questions that might arise in a reader’s mind.

Do not use Acronyms or Jargons:

Your methodology of working is well known within your company and your workers are also well aware about the terms you use, but your readers are not used to. So how are they going to understand what you mean? Make sure to write all your business communication in no short cuts or hard complicated language.

The successful business relationships are maintained with lots of patience and understanding, always be patient while you are communicating your business endeavors.

Let’s keep business and ethics out of court for a while and address an issue that haunts many skilled professionals, their clients, and their customers – The difficulty to understand what their colleagues are speaking.

Education is a must in today’s highly competitive scenario. And if it’s specialized in an area, it’s an added advantage. It, however, also endows the student with related language. Doctors speak Latin because I can’t understand what they write. Chemists do. May be they speak Latin as well. If you have ever heard a skilled engineer, or a scientist, talking to his colleague, you wouldn’t understand much of it as their communication involves usage of highly complex or technical terms. Quite similarly, an accountant’s language involves usage of statistical and mathematical terms.

Hence, it is highly possible that people out of your profession may not understand what you are blabbering about or vice versa.

People work hard to accomplish their professional degrees and work harder at their workplace to achieve their status. And, I have seen this, they are quite proud about how they toss difficult, incomprehensible words around. However, if they don’t translate these terms into simple English, the message may not be perceived by people at the other end. May be they will comprehend if they belong to the same profession. What if they don’t? You are simply wasting time, his time. Or worse, you are the source of misunderstanding created at your workplace.

And these misunderstandings have the potential to create huge mess. Patients would agree to get operated without knowing about the risks involved in it. Clients would permit their lawyers to go on with the strategies they would have never approved, only if they knew what the lawyer is saying. Investors would incur huge losses if they didn’t understand the potential risk of a purchase suggested by an advisor, obviously in jargons. It’s possible that these doctors, lawyers, and advisors are quite skilled and knowledgeable. However, using highly technical terms and jargons can ruin their reputation, and ultimately, their career.

It is definitely quite difficult to explain technical terms in simple language. However, that doesn’t rule out the option of trying. If you cannot translate you entire speech in simple English, at least, summarize the conclusion in an understandable language. Try to explain things with examples, if it’s not possible to define the process. I remember a cardiologist who explained every heart problem to his patients with the help of a water pump.

Secondly, don’t force solution on your clients. Instead, encourage them to ask questions after every brief explanation, which will help them to perceive the message. Wrong perception, if not faulty disclosure, can also drag you to court. Hence, it’s wise to have a clear communication, always.

While negotiations are the key for any successful business, it is vital for any organization to make correct and pleasant agreements with the opposite parties they are dealing with. The better you are at negotiating, the better your position gets, the smallest of negotiating mistakes can ruin the whole company and finally we see there are no takers for it. As much important is stressed on business communications, negotiating a deal plays a similar role, almost the same, there is not much difference in both the terms, provided they are used in separate dictums, although the same! Okay, so lets not get in to all that confusion, instead lets get better at negotiating our business plans. Some people strike a good business deal with effective negotiation, there is no luck factor involved, no emotions or magic days work, what works in grabbing a deal is hard core marketing of your company – if you want to sell or buy the products, or taking over or mergers. Negotiation requires lots of business discipline; these are the factors, which are counted by the opposite parties while striking a deal.

Negotiations are a part and parcel of any business unit, whether small or big, you have to make your point straight and clear with the negotiating parties. For a successful business relations and negotiation, I bring you some basic steps people follow before negotiating any type of a business deal. No matter, whatever type of business you are in to, or negotiating on behalf of your company, be very confident and analyze each of your negotiating points in detail:

Preparation

All the business dealings require a business planning, for capitalizing of funds, or selling their products, or taking over the companies. Gather all the positive points about your company if you are looking to sell your company, if the person you are going to deal with is very experienced in his field, he may want to find loopholes, give him no chance of any arguments, have all your details ready. Some individuals have specific styles of negotiating, you can talk to individuals who have dealt with the person earlier, and you would be better prepared for the outcome. If you are negotiating as a buyer, have a detailed knowledge about the product, before you finalize the deal, more often than not; individuals having nil knowledge are the biggest prime targets of cheating.

Have all your goals fixed in the mind before you go for any negotiations, provide them more information than they expect from you and be realistic of your undertakings. There may be many hurdles in getting in to fixed terms and conditions during the deal, the best is to prepare yourself for all types of outcomes and be ready with the solution.

Strategies

Business Strategy is the base of any business communication; unless you have a strategy planned, how can you negotiate? A proper planned strategy with detailed business information is a must if you are looking for smooth negotiation without any compromises. Nothing will come to you at first hand, you will have to strive hard for getting things done, and remember you wont get something without asking, so be clear on the things you expect from them.

Leverage

Find the grounds that will give you good leverage on the opposite parties, once you find even a single thing they are lagging behind in, bring that point forward while your negotiations are on and in mean time you can keep gathering all your plus points. If you are negotiating as a supplier and if market demands are more than the supply, you would be in a better position at bargaining and be sure of your terms and conditions. If your product’s market demand is low than the supply, then you cannot do much about it except that you can create yourself a strong foundation and demonstrate your knowledge and skills and expertise of your profession, perhaps that may yield you good returns.

Offer

The next thing after going through varied negotiating sessions, comparing both sides’ demands and leveraging of positive notes, there comes the actual offer. Your company’s or the other party’s offer should have a detailed info on all the terms and conditions accepted in the negotiations, it should have all the specifics, the offer price, quantity and quality of goods, the deliverables, incentives to be paid – if any, royalties to be paid – if any, the warranties given by whatever negotiating parties, the terms and acceptable conditions and other important details.

Avoid misunderstandings relating to any of your dealings with other parties; have everything written in papers legally. Every step of your negotiation and dealing would be a learning process so grab the maximum you can from the processes.

Win on win

Negotiations for companies are done on par with the quality output the company is yielding and the parties for business, communicate accordingly. Understanding each other’s priorities goes a long way in building positive relations and bonds for a successful business venture. You should not be solely looking for your benefits, give important look up on what other parties have to say and limit your plans accordingly. Have their importance at their place and bring forward all the things you want in your negotiations.

Deal Closure

The deal closures may bring along the happy news for both the parties, remember it’s the end game and all the plans and strategies are fixed, you cannot turn your back nor change your plans now without informing the other party. It’s the long job completed and you have to start taking steady steps in to fulfilling your obligations towards the deal made.

Negotiations are very much a part of business culture, they keep happening round the year, you need to be very specific of what you want for your company, what are your targets, things you want to take over, the expertise you want to get in your company and the amount of stakes you can give. Be clear on whatever steps you are taking.

So I hope you are all refreshed to hear more about our discussion from the PART I of the topic.

The amounts of blogs being released is huge and so is its demand, as per the estimates the blogging industry is estimated to be over 150 million blogs already in existence, the huge entrants to blogging industry is mainly because of the reason that there is no kind of barrier to entry, its absolutely free, no matter your professional qualifications, if you are passionate about writing, you can enter the industry. There are lots of reasons as to why people enter into blogging industry, it all finally rests on to one’s imagination and the passion for which he wants to run a blog, here are some of the common examples that represent the main motive behind people blogging:

Some people do it to follow a trend, which is in vogue.

Some use for voicing their opinion.

Some open up to be of some service to fellowmen

Informative blogs

To communicate with people, friends, family.

To build a brand, a trust

To make money by running blog in form of banner ads, etc.

Some use it for marketing their products.

To build a network of business people.

To influence the lifestyle.

For better search engine rankings.

And there are endless lists of reasons people blog, there is no particular course or exam you need to pass, you just need to be passionate about your writings and blog on a regular basis.

The main reasons behind me bringing up this topic today is to discover ourselves, as to who we are and what’s the reason behind us blogging, the answer to these 2 questions would determine your success rating in blogging efforts. You have to select a particular platform to blog, and speak your word, the things you believe in and the truth of the matter you want people to hear or get it across.

Lets get down to the final verdict as to which one is really in, both the types of blogs have equal importance and both of them are highly appreciated by people, there is equal demand for both the blog the only differences I have stated below:

Individual blogs doesn’t require much bigger a network to start of, where, as community blogs needs a huge amount of networking resources.

Individual blogs are laid on the perception of a one person’s objectives and goals in person or professional life where as community blogs are solely for people, by people and with people.

Individual blogs are more at personal front and community blog are more public like.

The biggest and greatest advantage of a community blog is that you can piggy back on the brand of the community so there aren’t much of marketing efforts you need to do to convince someone into buying your product, if the blog is trust worthy, there are no questions people would ask.

Community blogs helps you to market your products at a larger scale, there are groups you can refer to. Each of the types have their own pros and cons, both have their own niche and importance, its upon us which one to go for, both are profitable and both are equally in fashion. Please feel free to share your views here.
